Define the terms before comparing prices
A non-comprehensive AMC often covers periodic inspection and labour while replacement parts are billed separately. Comprehensive packages may include specific spares within caps, but some exclude wear parts. Ask for written itemised coverage and exclusions in both cases.
Coverage comparison for quotations
The following is a review framework—not a standard promise by every vendor.
| Component / activity | Comprehensive: ask | Non-comprehensive: ask |
|---|---|---|
| Routine preventive visit | Visit count and labour included? | Visit count and labour included? |
| Breakdown callout | Call limits, priority and labour? | Labour/callout per visit? |
| Bearings / seals | Included, capped or excluded? | Separate quote before replacement? |
| Shredder blades | Wear excluded or capped? | Separate replacement price? |
| Heating elements and sensors | Exactly which items included? | Cost of parts and wiring? |
| Motor / gearbox | Coverage, depreciation and failure cause? | Who approves high-value replacement? |
| Travel and freight | Within which locations included? | On-site travel and delivery billed? |
| Consumables / cleaning | Normally separate; check | Normally separate; check |
Protect both sides with clear service terms
An AMC should record machine serial number, condition at handover, contact persons, availability window, phone diagnostics, expected visit response, exclusions for polythene/foreign bodies, required earthing and operator responsibilities. Response target does not equal guaranteed full repair.
- Record existing defects and inspection photographs before coverage starts.
- Define parts replacement approval and handback report.
- Separate machine warranty from AMC renewals.
Why a low AMC quote can become expensive
If critical spares, site visits, operator training and travel are excluded, the headline annual fee may understate likely expenditure. Conversely, a comprehensive contract for a small lightly used machine may be unnecessarily expensive if capped coverage is narrow. Compare realistic total annual cash costs.
Do not describe a package as all-inclusive unless the signed schedule expressly provides it.
Before signing an OWC AMC
Request planned visits, emergency procedure, covered components list, exclusions, price revision terms, GST, payment schedule, service report format and escalation contact. Share current issues, waste type and electricity supply in advance.
